Chargeease Refund & Return Policy

This Refund & Return Policy (“Policy”) forms part of the Terms & Conditions governing your use of the ChargeEase platform (www.chargeease.org) and Services for recurring invoicing, subscription management, and payment facilitation (“Services”). By accessing or using the Services, you agree to this Policy. Capitalized terms not defined here have the meanings given in the Terms & Conditions.

ChargeEase is a technology platform that facilitates recurring billing and payments. We do not directly sell physical goods or process payments ourselves (except where integrated with compliant third-party gateways). Refunds and cancellations primarily relate to your Subscription Fees with us or transactions you initiate for your end-customers.

1. Scope

 This Policy applies to:

  • Merchant Subscriptions: Fees you pay for access to ChargeEase plans (monthly or annual).
  • Customer Transactions: Refunds you issue to your end-customers via the platform for invoices or recurring payments you manage.

“Returns” do not apply to digital SaaS services or invoices, as there are no physical products.

2. Subscription Fees (Your Payments to ChargeEase)

  • To provide and improve Services (e.g., generate invoices, process subscriptions).
  • For billing and account management.
  • Analytics and marketing (with consent where required).
  • Legal compliance (e.g., tax reporting, fraud prevention).

3. Legal Basis (Global Best Practices)

  • No Automatic Refunds: All Subscription Fees are non-refundable except in cases explicitly stated below or as required by applicable law. This aligns with standard practices for digital SaaS services in Pakistan and globally.
  • Cancellation: You may cancel your Subscription at any time via your Account dashboard. Cancellation takes effect at the end of the current billing cycle (monthly or annual). You will retain access until the end of the paid period, and no further charges will apply.
  • Refund Eligibility:

                >> Within 7 Days of Initial Purchase: Full refund of the first Subscription Fee if you have not used the Services beyond basic account setup and demonstrate good faith (e.g., technical incompatibility). Requests after 7 days are generally not eligible.

               >> Billing Errors: We will investigate and may issue a full or prorated refund (at our discretion) for documented billing errors, such as duplicate charges.

                >> Annual Subscriptions: Prorated refunds for unused full months may be considered in exceptional cases (e.g., service disruption exceeding 30 days), minus any setup/integration fees or promotional discounts. Partial months are non-refundable.

                >> No Refunds for: Partial use of a billing cycle, downgrades, or cancellations after the billing date; setup, integration, or one-time fees; violations of Terms leading to suspension/termination.

  • Late or disputed payments do not qualify for refunds.

3. Refunds to Your End-Customers

You are solely responsible for managing, approving, and processing refunds to your end-customers for invoices or recurring payments created through ChargeEase.

  • Process: Use the platform tools to issue refunds electronically where supported by the integrated payment gateway. Refunds must comply with the gateway’s rules, SBP regulations, and your agreements with customers.
  • Timelines: Process refunds promptly (ideally within 5-10 business days) to minimize disputes. You remain liable for any chargebacks, disputes, or retrievals, which may be deducted from your account balance or charged back to you.
  • Chargebacks: In cases of customer disputes, fraud, or unauthorized transactions, the integrated payment gateway will handle chargebacks per card network/SBP rules. You authorize us and the gateway to recover such amounts from your funds. Excessive chargebacks may result in account review, suspension, or additional fees.
  • We facilitate but do not control or guarantee refunds to end-customers. You must obtain necessary consents and comply with consumer protection laws.

4. Refund Processing and Methods

  • Approved refunds will be issued to the original payment method within 5-14 business days (depending on the gateway and bank processing times).
  • Refunds may be subject to deductions for transaction fees, gateway charges, or taxes already remitted (you remain responsible for taxes).
  • Currency: Refunds in the original currency of the transaction (subject to gateway capabilities).

5. How to Request a Refund

  • For Merchant Subscriptions:

Contact success@chargeease.org with your Account details, reason for refund, and supporting evidence (e.g., screenshots of errors). We respond within 3-5 business days.

  • Provide accurate information; frivolous or repeated requests may be denied.
  • All decisions are at ChargeEase’s sole discretion, subject to applicable law.

6. Compliance with Regulations

  • State Bank of Pakistan (SBP): We and integrated gateways comply with SBP rules for Payment Service Providers, including transparent dispute resolution, customer notifications, and fraud prevention. Refunds/chargebacks follow SBP guidelines on electronic fund transfers and payment systems.
  • Consumer Protection & E-Commerce: Aligned with Pakistani consumer laws  and the E-Commerce Policy. We encourage fair practices but limit refunds for digital services as permitted. You must handle end-customer complaints transparently.
  • PCI-DSS & Data Security: Payment data handling follows industry standards; refunds do not compromise security.
  • Legal Requirements: Refunds may be mandated in cases of service non-delivery due to our fault, as per law. We reserve rights under the Terms for breaches.

7. Disclaimers

  • Services are provided “AS IS.” We are not liable for delays in refund processing caused by third-party gateways, banks, or your actions.
  • This Policy does not limit your rights under applicable Pakistani law. In case of conflict, mandatory legal provisions prevail.
  • We may update this Policy; continued use constitutes acceptance. Material changes will be notified.
